PLANTERS PEANUTSJOB DESCRIPTIONPOSITION TITLE: Temporary Labor-Administrative Assistant REVISED DATE: 04/27/2022SUPERSEDES DATE: 08/08/2019SALARY GRADE: Temporary PAY RATE: DEPARTMENT: HR/Staff LOCATION: Fort Smith PlantSUPERVISOR TITLE: HR Manager REASON FOR ACTION: REVISED POSITION 1 The statements included in this Job Description reflect, in general, the duties and responsibilities of this position and are not to be interpreted as being all-inclusive.Summary Statement: Admin Assistant should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance, while maintaining confidentiality, via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace. To be successful as an Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Primary Responsibilities/Accountabilities: --- Utility Microsoft Office Products: Outlook- email/calendar/tasks; Excel Spreadsheets- entry, basic level formulas and editing; word-basic. --- Handling office tasks, such as filing accurately, generating reports and presentations, and setting up for meetings.--- Update web based database of training and reference documents, update hyperlinks and refresh postings.--- Handle confidential documents and maintain confidentiality. --- Screening phone calls and routing callers to the appropriate party.--- Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.--- Greet and assist visitors.--- Maintain polite and professional communication via phone, e-mail, and mail.--- Anticipate the needs of others in order to ensure their seamless and positive experience.Basic or minimum Qualifications/Abilities:--- Must have and maintain a good attendance record--- Educational level of High School graduate or GED equivalent required--- Professional communication skills: Oral, Written, Interpersonal, Phone Communications and Excellent Customer Service--- Must demonstrate organizational and time management skills.--- Self motivated to learn additional duties and become familiar with all coworkers.--- Intermediate level use in Microsoft Office--- Prior administrative experience is a plus--- Excellent computer skills, especially typing.--- Attention to detail.--- Desire to be proactive and create a positive experience for others.Physical Requirements--- Able to walk, stand, and sit for the duration of shift--- Performs bending, squatting, kneeling, sorting, and reaching to both ground level and overhead--- Wear all Required Personal Protective Equipment, PPE, to perform job tasks--- Ascend/Descend stairs and ladders throughout shift--- Lift up to up to 20 pounds independently, and heavier weights with assistance--- Able to give and understand instructions and hold conversations in office environment, as well as an office or classroom setting--- Communicate with co-workers face to face, radio, and phone.--- Must possess manual dexterity necessary to operate equipment, disassemble and reassemble equipment, operate a computer and other standard office equipment--- Utilize phone and email for communication--- Vision adequate to manipulate equipment controls, complete paperwork, utilize computers, and have depth perception.
